As a Client Document Coordinator, you will be a key point of contact for clients as they gather the documents needed for their immigration cases. Your role ensures clients feel supported and informed, and that their documents are collected, organized, and ready for the next step in the case process. Responsibilities Client Document Coordination Collect and track required supporting documents from clients, ensuring timely submission according to case timelines. Review submitted documents for completeness and basic suitability; notify clients of any missing or incomplete items. Maintain clear, empathic, and professional communication with clients regarding their document status and next steps. Conduct daily follow-up calls with clients to track progress, answer questions, and ensure all required documentation is gathered in a timely manner. Provide guidance to long-distance or out-of-state clients on how to submit required documents (mail, scan, upload, etc.). Organize and upload client documents into the case management system with accurate and consistent labeling. Maintain detailed records of document submissions, outstanding items, and follow-ups for each case. General Support & Coordination Work closely with other members of our Legal Team to ensure all required documentation is accounted for before internal case handoff and submission deadlines. Assist with document-related requests, including police record requests, background checks, and other supporting documentation. Flag potential delays or document issues early so the team can proactively support the client. Qualifications Bilingual in English and Spanish (required). Strong organizational skills and attention to detail. Excellent written and verbal communication skills, especially with clients. Ability to manage multiple cases and document requests simultaneously and meet deadlines. Proficiency in scanning, labeling, and organizing electronic files. A proactive and resourceful attitude in problem-solving. Exhibits excellent customer service skills. Prior experience at an immigration law firm is preferred but not required. Software Requirements: Windows 10+ or macOS 11+ Intel i5 / Ryzen 5 or better 16 GB RAM required (Essential to handle our Chrome workload, several tabs open hit heavy on RAM and CPU) No storage requirement (all work done in Google Drive) Dual monitors is a plus Internet Speed: 150–200 Mbps minimum high-speed connection Why Join Us?
