We are Professor Egghead Science Academy, dedicated to making science “Accessible, Understandable, and Cool” through our afterschool programs, camps, parties, special events, and workshops for elementary-age students across Los Angeles and surrounding areas. General Description: Provide exceptional client service to schools, cities, parents, and organizations, and provide administrative and marketing support to the Client Experience Specialist as part of the Professor Egghead Science Academy office team. Core Competencies: Detail Oriented - Catch mistakes in paperwork and not make errors when setting dates. Planner - Holds to a set schedule and timeline. There is not a lot of last minute work or unplanned work in this position. Introverted or Extroverted - This position can be done with whatever level of interaction is desired with other coworkers. Communication Ability - Must have few errors in emails, good at proofreading, and must communicate effectively as the face of our company on the phone and in email. Positivity - Must remain positive and helpful during all interactions with parents, schools, and other clients. Patience - Must not become exasperated or impatient with clients or customers in the moment. KPIs (Key Performance Indicators): ~No more than 5 tasks overdue at any given time ~Client rating of support team at 9/10 or greater at all times ~Response time under 12 business hours to all client and parent communications Specific Responsibilities: Administrative Support ~Creating and Submitting Permits and Leasing Agreements ~Handling of local inquiries and questions from parents ~Inputting rosters and following up to gather rosters from Scheduling Coordinators ~Confirming parties, inputting parties, and charging parties ~Inputting classes and camps on Jumbula software ~Managing lab fee payments ~Inputting of program dates, including researching available days and times using school links and calendars ~Creating school Information sheets and keeping school information updated in systems Marketing Support ~Sending Email Blasts for marketing to clients ~Producing and mailing flyers to clients Requirements: Fluency in English (written and verbal). Strong verbal and written skills Ability to multitask Work Hours: US Pacific Time, 9:00 AM – 2:30 PM, Monday through Thursday, 20 hours per week with a 30-minute lunch break.
