Elite Virtual Assistant for Real Estate Course, Podcast Launch, and Social media Growth Job Overview: We are seeking an exceptionally skilled Virtual Assistant to serve as a right-hand generalist in launching an online real estate course and podcast over the next year. This is a dynamic role for a proactive, tech-savvy professional who can wear many hats and thrive without micromanagement. You will start part-time on a trial basis (approximately 10–20 hours/week), with US business hours availability, and the role can expand to a long-term (12+ months) engagement if you consistently deliver top-quality results. Key Responsibilities • Project & Content Management: Assist in implementing the 12-month roadmap for the course and podcast launch. This includes scheduling and coordinating webinars, coaching calls, and podcast interviews, and keeping project timelines on track. You’ll upload and organize course content on Kajabi (videos, PDFs, quizzes) and ensure the online course (LMS) is structured and updated correctly. • Podcast Production & Promotion: Manage the end-to-end podcast workflow – coordinate guest outreach and scheduling, prepare interview research/briefs, edit audio/video episodes (or liaise with editors), and publish episodes with show notes. Promote each episode across platforms (YouTube, Apple Podcasts, Spotify, etc.) and repurpose content into blog posts, short clips, or social media posts for maximum reach. • Digital Marketing & Funnels: Build and optimize sales funnels for course enrollment and lead generation. This includes creating landing pages (e.g. in Kajabi or ClickFunnels), setting up email opt-ins and thank-you pages, and integrating email marketing sequences to nurture leads.. You will schedule and send marketing emails/newsletters, manage webinar sign-ups and follow-ups, and help drive conversions through well-crafted funnel copy and design.. • Social Media & Community Growth: Act as our social media manager to grow our online presence. Plan, create, and schedule content for platforms like YouTube, Instagram, Facebook, LinkedIn, and TikTok. Optimize YouTube videos (titles, descriptions, tags) for SEO and engagement. Engage with comments and community messages, and monitor social trends to capitalize on content opportunities. Graphic design skills are a plus – you’ll create eye-catching graphics or thumbnails (using Canva or Adobe Suite) to maintain a strong brand aesthetic.. • SEO & Content Optimization: Implement basic SEO strategies across our content. Research keywords for blog posts or video content, optimize website pages and YouTube descriptions for search visibility, and ensure all content follows best practices for ranking (e.g., on-page SEO, link building outreach if applicable). Monitor analytics to see what’s working and adjust content strategy accordingly. • Video Editing & Multimedia: Edit course videos, marketing videos, and podcast snippets for clarity and impact. Add intros/outros, captions, or graphics as needed. Create short-form video content (Reels, TikToks, YouTube Shorts) from longer videos to help us reach a wider audience.. Basic audio editing for podcasts (noise reduction, adding music) will be part of your tasks. • Website Management & Tech Setup: Update and maintain our website and landing pages (via Kajabi or WordPress as needed). Ensure all pages (sales pages, course pages, opt-in pages) are on-brand and functioning correctly. Set up and troubleshoot integrations between tools – for example, linking forms to our CRM, payment gateways, or webinar platforms. Build automations (using Zapier or in-app automation) to streamline processes and reduce manual work... • Outreach & Email Marketing: Act as a cold email specialist to support our outreach efforts. Draft and send outreach emails for guest pitching, partnership opportunities, or affiliate marketing. Manage email lists and CRM tagging to segment our audience (e.g. prospects, course students, podcast listeners).. Ensure timely follow-ups and nurture sequences are in place to build relationships and convert leads. • Graphic Design & Branding: Support our branding by creating or coordinating creation of logos, PDFs, slide decks, and other brand assets. Maintain brand consistency in all visuals and copy. Use tools like Canva (or Adobe Illustrator/Photoshop) to design social media posts, course workbooks, webinar slides, etc., aligning with our established style. • Client Success & Support: Serve as a customer success manager for our students and audience. This means responding to student inquiries, troubleshooting access issues on Kajabi, moderating webinar Q&As, and gathering feedback to improve the course. Proactively suggest improvements to the user experience. Keep an eye on student progress and engagement, and help implement strategies to increase course completion and satisfaction. • Analytics & Continuous Improvement: Track key performance indicators across the project – email open/click rates, landing page conversion rates, podcast download stats, social media growth, etc. Create simple reports or dashboards to communicate progress. Importantly, use this data to suggest and implement tweaks for improvement. If you notice a process inefficiency or a chance to improve a workflow, you’re expected to speak up and help refine it... The above list is expansive, but as an elite VA you’re comfortable juggling diverse tasks. In essence, you’ll be an “automation builder, content creator, growth hacker, and project manager” all in one – a true unicorn VA who ensures nothing falls through the cracks. Ideal Qualifications & Skills • Proven Experience: 3+ years experience as a virtual assistant or digital marketing specialist supporting online businesses, coaches, or course creators.. You should understand the ins and outs of launching digital products or podcasts. Experience in the real estate industry or online education is a strong plus. • Technical Mastery: Hands-on experience with Kajabi (or similar LMS) is required – you know how to build courses, pipelines, and email automations on the platform.. Familiarity with other relevant tools is highly desired: e.g. ClickFunnels or funnel builders, email marketing systems (ActiveCampaign, Mailchimp, or Kajabi’s email system)., CRM software (HubSpot, Zoho, etc.), WordPress or site builders, and project management tools (ClickUp, Asana, or Trello). • Content & Design Skills: Demonstrable skills in content creation – from writing engaging copy to basic graphic design and video editing. You can craft social media posts, format a blog or newsletter, and maybe even tweak a landing page’s copy for better conversion. Experience with Adobe Creative Suite or Canva for design, and software like Adobe Premiere Pro, Final Cut, or CapCut for video editing will be beneficial... • Marketing & SEO Knowledge: Strong understanding of digital marketing principles, including social media strategy, community building, and SEO. You know how to optimize content for search engines and have a grasp of running paid ads (Facebook/Instagram Ads or Google Ads).. If you’ve managed or assisted with ad campaigns and can analyze their performance, that’s a plus. • Communication: Fluent English is a must – you can write and speak in a professional, clear manner. You’ll be crafting emails, social posts, and interacting with guests or students, so impeccable communication and copywriting skills are expected. Customer service experience helps, as you’ll be engaging with our community. • Organization & Autonomy: Highly organized and self-directed. You excel at time management and can independently prioritize tasks to meet deadlines. We need someone who “reads the manual” and solves problems before asking, yet isn’t afraid to ask smart questions when needed.. Work Hours & Compensation • Hours: Part-time to start (approximately 10–20 hours per week). You must be available during U.S. business hours (Eastern Time) for regular check-ins and real-time collaboration. We can discuss a consistent schedule that overlaps with 9 AM–5 PM ET. Flexibility in scheduling is possible as long as there is reliable overlap for meetings and urgent tasks., and all deadlines are met. • Trial & Duration: The role will begin with a paid trial period (e.g. 1 month or a set number of weeks) to ensure a good fit. Our aim is to find someone for a long-term commitment (~12 months and beyond), with the possibility to increase hours or transition to full-time if you prove indispensable.
