Executive Assistant for Miami Realtor Specializing in Rentals (Bilingual EN/ES) – $5/hr Location: Remote Hours: WIll start as part-time but need Full-time availability since it will quickly turn into full time (US, EST. Time Zone working hours) Compensation: $5 per hour Languages: Fluent English and Spanish We’re looking for a highly organized, tech-forward Executive Assistant to support a Miami-based realtor, Lisa, who specializes in rentals across all of Miami including Edgewater, Brickell, Downtown, Midtown, Wynwood, Miami Beach, and surrounding areas. This role is for someone who thrives in fast-moving environments, communicates effortlessly, and knows how to move leads from cold to warm with precision. If you love systems, automation, and being the right hand to someone extremely busy, you’ll love this position. What You’ll Do Lead Management & Communication Handle all incoming inquiries across WhatsApp, social media, Zillow, email, and other lead channels. Qualify leads using scripts, follow-up sequences, and judgment to ensure only serious, warm-to-hot prospects get forwarded to Lisa. Maintain professional, friendly, and prompt messaging in both English and Spanish. Keep conversations alive, ask smart qualifying questions, send follow-ups, and nurture cold leads into warm ones. Organize and summarize lead info before passing to Lisa for scheduling tours. Automation & Systems Build, refine, and manage Zapier automations for lead routing, task creation, follow-up reminders, pipeline movement, and reporting. Set up and optimize additional automation tools as needed. Maintain a clean, organized, and high-functioning CRM that is always up-to-date. Document processes, refine workflows, and create SOPs to increase efficiency. Social Media Management Manage DMs, comments, and lead conversations across Instagram, Facebook, TikTok, and other platforms. Use social media as a funnel, keeping communication structured and consistent. Identify strong leads coming from content and ensure they’re nurtured properly. Operations & Executive Support Keep Lisa’s day friction-free by organizing tasks, filtering communication, and ensuring she only engages with leads ready to tour. Track follow-ups, applications, approvals, and timelines so nothing slips through the cracks. Maintain spreadsheets, dashboards, and reports on lead volume, funnel performance, and conversion rates. Assist with scheduling when necessary, but only for pre-vetted, high-intent renters. Support with listing management tasks such as gathering info, sending preset templates, or communicating with property managers when needed. Requirements Very proficient in Zapier and capable of building multi-step, conditional automations. Comfortable with CRMs such as Follow Up Boss, HubSpot, or similar. Strong experience in lead management, customer communication, or sales support. Bilingual: Fluent English and Spanish. Excellent written and verbal communication skills. Highly organized and systems-driven. Social media savvy, especially with fast responses and volume management. Proactive, resourceful, and able to manage dozens of conversations at once. Comfortable working Miami hours or adjusting to Lisa’s schedule. Preferred (but not required) Experience working with realtors or leasing agents. Familiarity with Miami neighborhoods and the rental market. Experience setting up templates, sequences, and follow-up automations. Ability to manage backend tasks like digital paperwork, basic research, or unit availability checks. What Success Looks Like Lisa only speaks to leads who are serious and ready for a tour. Every inbound lead is responded to promptly, nurtured, and tracked. Automations reduce manual work and increase speed. CRM stays exceptionally organized at all times.
