Virtual Rockstar is hiring a full-time Executive & Marketing Assistant on behalf of our client — an inspiring entrepreneur, coach, and speaker based in Utah. She empowers women to grow their businesses, expand their influence, and live out their full potential through transformative coaching and leadership development programs.

We’re looking for a proactive, organized, and creative professional who can help manage executive operations while driving marketing initiatives that build visibility, engagement, and growth. This role blends executive support, marketing strategy, and funnel management — ideal for a self-starter who thrives in fast-moving, purpose-driven environments.

Responsibilities

Executive Support

  • Manage complex calendars and scheduling across multiple brands.

  • Oversee inbox organization, correspondence, and responses with professionalism and attention to tone.

  • Coordinate meetings, travel logistics, and event preparation.

  • Help document workflows and maintain SOPs for improved organization.

  • Support both professional and personal scheduling as needed.

Marketing & Funnel Management

  • Build and optimize email and sales funnels using Go High Level and related tools.

  • Create and manage landing pages, lead magnets, and automations for audience growth.

  • Design and schedule email campaigns, nurture sequences, and promotional workflows.

  • Support webinars, course launches, and digital events through deliverable creation (PDFs, slides, promotional content).

  • Analyze performance reports and make recommendations to improve conversion and engagement rates.

  • Stay up to date on AI marketing trends to help implement innovative tools and automations.

Content & Social Media Coordination

  • Develop and maintain a social media calendar for multiple platforms.

  • Create and edit short-form video content (reels, stories, clips) and assist with long-form video organization.

  • Design graphics and assets in Canva for marketing materials, social posts, and presentations.

  • Repurpose existing content into bite-sized pieces for social channels, courses, and community engagement.

  • Support with posting, community management, and engagement on Facebook groups, Instagram, and other platforms.

Systems & Technical Support

  • Manage Go High Level setup and integrations; help transition existing systems into GHL.

  • Assist with website updates (Wix, Podia, or future GHL site migration).

  • Create organized file structures for digital assets, videos, and documents.

  • Manage CRM databases, tag and segment leads, and maintain reporting dashboards.

  • Troubleshoot and test automations to ensure seamless workflows across systems.



Requirements
  • 3+ years of experience in executive assistance, digital marketing, or online business management.

  • Proficiency in Go High Level (funnels, automations, pipelines, workflows) — required.

  • Strong understanding of digital marketing, social media strategy, and online course management.

  • Advanced skills in Canva, Google Workspace, and familiarity with tools such as Flodesk, Podia, Trello/Slack, Riverside, Opus Clip, and Descript.

  • Excellent English communication skills — both written and verbal — with a natural, confident tone.

  • Highly organized, detail-oriented, and capable of managing multiple projects simultaneously.

  • Creative problem solver with strong design sense and eye for brand consistency.

  • Tech-savvy and comfortable learning new apps and systems quickly.

  • Positive, proactive, and self-motivated — a true go-getter who takes initiative and delivers results.

  • Experience in coaching, health, wellness, or entrepreneurial industries a plus.
