We’re hiring a Full-Time Virtual Assistant / Marketing Operations Manager to work directly with the CEO of a fast-growing IT and cybersecurity company based in Texas (USA). This is not an entry-level role. You’ll be the CEO’s right hand — organizing priorities, running marketing coordination, managing people, and driving execution with precision and energy. 🧭 Your Mission Turn strategy into systems. You’ll manage communication, oversee freelancers, support marketing campaigns, and ensure smooth day-to-day operations so the CEO can stay focused on growth and innovation. 💼 Key Responsibilities Executive & Operations Support Manage CEO’s email, calendar, and appointments with confidentiality and flawless attention to detail. Prioritize and organize projects in ClickUp or similar tools. Take ownership of follow-ups, deadlines, and outcomes — nothing slips through the cracks. Help translate the CEO’s vision into job descriptions, workflows, and actionable plans. Marketing & Content Coordination Oversee and coordinate marketing activities — from email campaigns to social media content. Work with contractors and designers using tools like Canva, GoHighLevel (GHL), and ClickUp to keep campaigns on schedule. Manage company presence and engagement on LinkedIn, Facebook, and TikTok. Help coordinate with our marketing team and external vendors to ensure brand consistency and momentum. Hiring, Management & People Support Post, screen, and manage freelancers and full-time candidates on Upwork and other hiring platforms. Assist with onboarding, accountability, and — when necessary — offboarding or termination. Maintain an updated org structure and help recruit specialized roles for IT and marketing functions. ⚙️ Tools You’ll Use Regularly ClickUp – Project and task management Canva – Design coordination and content prep GoHighLevel (GHL) – CRM, automation, and campaign support Upwork – Talent sourcing and team management LinkedIn, TikTok, Facebook – Brand awareness, engagement, and content scheduling Google Workspace – Communication and documentation 🎯 Required Skills & Experience 3+ years in an executive assistant, marketing coordinator, or operations manager role. Exceptional written and oral communication — you’ll be drafting emails, proposals, and team updates. Experience working in IT, technology, or marketing-driven organizations. Strong judgment, professionalism, and discretion in managing information and people. Ability to take initiative, anticipate needs, and solve problems before they happen.
