- Moffatt & Nichol specializes in large complex waterfront infrastructure projects and is recognized as one of the worldwide leaders in this field. We are actively looking for a Global Payroll Specialist to join one of our Brazil offices (Sao Paulo or Rio de Janeiro).
- The successful coordinator will ensure accurate and timely processing of the company's payroll for our LATAM offices. This role handles all aspects of payroll operations from processing timesheets and managing adjustments due to employee status changes, to addressing payroll-related inquiries. They will also maintain effective communication with HR and other departments as is essential to streamline payroll processes and resolve discrepancies. This position may also help with payrolls in Europe, and Australia – a person with expertise in multiple countries with a desire to grow is desired.

- Duties and responsibilities:

- * Process attendance records and other necessary documents for international payroll operations
- * Verify payroll information for accuracy and ensure all relevant paperwork is in order
- * Coordinate with HR about changes in payroll (e.g. terminations, new hires, salary changes, LOA,)
- * Oversee electronic payments and distribution of payroll checks
- * Update data with salary or wage adjustments
- * Process other financial compensation or deductions (e.g. annual bonuses, severance pay, taxes, worker’s compensation)
- * Handle benefit expenses, like insurance fees or paid leave
- * Generate reports to upper management upon request
- * Address employee inquiries and resolve complaints regarding salaries and payments
- * Collaborate with relevant authorities (e.g. DIAN, HMRC) for audits or information requests, ensuring compliance with company policies, industry regulations, and tax laws. on audits or requests
- * Contribute to ongoing improvement of HR Services practices, processes, and systems and respective documentation

- Qualifications:
- * Bachelor’s degree in related field; required
- * 3-5 years of experience in payroll, experience with medium sized organization
- * Experience with Brazil, Chile, Colombia and other LATAM countries payroll; required
- * International (outside US) payroll experience; preferred
- * Excellent communication skills and able to meet deadlines in a dynamic environment with multiple project responsibilities
- * Self-motivated, highly organized, positive, and takes pride in work and being an integral part of a committed team
- * Proficiency in Microsoft Office, especially Excel, and intermediate skills in Word and PowerPoint
- * Proficiency in ADP (Workforce Now, Celergo); preferred
- * Fluent at the business level for English, Spanish, and Portuguese; required
- * Excellent organizational skills and attention to detail
- * Excellent time management skills with a proven ability to meet deadlines
- * Strong analytical and problem-solving skills
- * Integrity, professionalism, and a commitment to confidentiality
- * Proficiency with or the ability to quickly learn the organizations HRIS and talent management systems
- * Detailed knowledge of payroll processes
- * All new hires will be required to successfully complete and pass a pre-employment (post offer) background check in compliance with NIST 800-171
Working conditions
- This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical requirements
- Sedentary role, however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
