Sales Operations Admin | CRM + Project Manager (14 Weeks, EST) Commitment: 20–30 hrs/week (EST overlap required) Length: 14 weeks (potential to scale full-time) About the Role We are an innovative company in the ed-tech / SaaS / content-as-a-service space. We’re looking for a Sales Operations Admin who can bridge sales operations, project management, and content coordination. You’ll work directly with leadership and vendors to: Build our sales playbook + Zoho CRM pipeline. Drive outreach and podcast guest booking that results in sales meetings. Oversee vendors delivering content, website updates, and creative assets. Produce SOPs, reports, and decks that scale knowledge and drive accountability. This role is perfect for someone who thrives behind the scenes, is both analytical and creative, and knows how to turn strategy into execution. Responsibilities Manage Zoho CRM pipeline + ensure accurate reporting. Collaborate with external sales consultants to document Sales Playbook. Support podcast outreach + guest booking process in collaboration with Executive Assistant and marketing admin. Build and track content delivery process in Asana for (newsletter, podcast, social). Oversee website design/dev vendors and ensure timely launch. Manage creative deliverables for campaigns and events. Build and maintain Asana project timelines. Create SOPs, reports, and presentations (Excel, Canva, PowerPoint). Deliver weekly status dashboards and CEO time maps. Objectives, Deliverables & Metrics (14 Weeks) 1. Sales Funnel + CRM (Zoho Expert, Closers.io) Objective: Build a scalable sales playbook and CRM pipeline. Deliverables: CRM pipeline live and functional (Weeks 3–6). Sales Playbook drafted and documented (Weeks 3–10). Outreach → booked meetings process integrated with podcast guesting (Weeks 5–8). SOPs for sales funnel, CRM, and sales-to-CS handoff (Weeks 10–14). Success Metric: Playbook + CRM pipeline finalized by Week 10; sales-to-CS process operational by Week 14. 2. Content Delivery (Marketing Admin, Podcast Support) Objective: Ensure content fuels sales outcomes. Deliverables: Podcast booking + publishing calendar active (Weeks 3–14). Newsletter calendar + delivery tracker live (Weeks 2–14). Weekly report linking content → leads → meetings. SOPs for content publishing + tracking (Weeks 10–14). Success Metric: 95% on-time podcast + newsletter delivery. 3. Founder Website (Designer, Developer) Objective: Launch updated founder site supporting sales + marketing. Deliverables: Requirements captured + vendor tasks documented (Weeks 1–2). Wireframes approved (Week 4). Copy + design assets integrated (Weeks 6–8). QA + launch plan executed (Week 10). SOP for updates + maintenance (Week 14). Success Metric: Website launched by Week 10. 4. Creative Assets (Designer for Website and Graphic Designer) Objective: Deliver creative assets process for brand and campaign deliverables. Deliverables: Build tracking and reporting process of assets in Asana and Drive (Week 2). First set of assets delivered (Week 4). Iteration cycles for 2–3 campaigns (Weeks 5–12). Final creative library organized + documented (Week 14). Success Metric: Creative library finalized by Week 12. 5. Founder-Led Marketing Timeline (Admin + Vendors) Objective: Integrate all workstreams into one GTM plan. Deliverables: Asana master timeline with milestones for podcast, newsletter, website, and campaigns. Weekly vendor status dashboard (red/yellow/green). CEO time map highlighting prep + decision points. Success Metric: Master GTM calendar operational by Week 4; weekly dashboard consistently updated. 6. Outreach & Meetings Objective: Drive sales meetings via podcast guesting + outreach. Deliverables: Outreach system documented and managed. Podcast guest outreach + scheduling consistent. Success Metric: 15+ qualified podcast/sales meetings booked by Week 14. Requirements 3+ years in Sales Operations, Revenue Operations, or Project Management. Proficiency in Zoho CRM (or similar). Strong writing and documentation skills. Proficient in Canva + PowerPoint (presentation design). Proficient in Excel/Google Sheets (reporting + analytics). Project management tool experience (Asana, ClickUp, etc.). Background in ed-tech, SaaS, online learning, or CaaS preferred. Bonus: Experience with Closers.io frameworks, EOS/Traction, or podcast outreach. Must work EST time zone Who You Are A strong writer who can translate complex ideas into clear reports and SOPs. Attention to detail and organized Tech Savvy: GDrive, Asana, Slack, Zoho, Powerpoint, Canva, Excel, ChatGPT, Generative AI or AI Agents Experience with Traction or other operating systems a Plus Success Metrics Sales Playbook and CRM pipeline live by Week 10. 15+ podcast/sales meetings booked by Week 14. 95% on-time content + creative delivery. 5–7 SOPs created and handed off. CEO executional load reduced by 50%.
