- Responsibilities
- Our newest opportunity is for a talented Receptionist to join our award-winning team based in Porto, Portugal.
- This position is the first point of contact for the organization, providing professional and welcoming experience for visitors, clients, and employees. This entry level role supports daily office operations by managing front desk activities, handling incoming communications, and assisting with administrative tasks.
We envisage success in this role to include
- Managing the reception and office as per FM&A Policies and protocols.
- Greeting visitors, clients, and employees in a courteous and professional manner.
- Answering phone calls in a professional manner, screening and forwarding calls to the relevant party.
- Managing incoming and outgoing mail, packages, and deliveries.
- Scheduling and coordinating meeting rooms and appointments.
- Ensuring reception and meeting room areas are clean, safe, and presentable and that all necessary materials are available.
- Helping maintain office security by issuing, checking, and collecting ID badges as necessary and updating the access control system.
- Maintaining FM&A registers and logs.
- Performing general clerical duties associated with distributing office communications, documents, and packages as required.
- Dealing with ad hoc requests and routine administrative tasks, supporting colleagues and teams as needed.
- Assisting with pantry and office supplies inventory and place orders when needed.
- Supporting onboarding activities, including preparing workspaces and welcome materials.
- Assisting in the coordination of catering for meetings and events.
- Qualifications
- To be successful in this dynamic opportunity, we envision that your career journey to date will include a minimum of 1 year work experience as a Front Desk, Concierge, customer service or other hospitality and administration experience is preferred partnered with a High School Diploma or Bachelor degree in Hospitality or other related field. Candidates with no prior professional experience are welcome to apply, provided they demonstrate a willingness to learn, adhere to office policies and procedures, and contribute positively to the team environment.

- Strong verbal and written Portuguese and English communication skills.

- Strong team player with a collaborative, flexible, and supportive attitude.
- Ability to manage time effectively in a fast-paced environment.
- Proficient in Microsoft Office (Outlook, Word, and Excel).
- Attention to detail and strong organizational skills.
