We are seeking a highly organized Remote Executive Assistant & Project Manager to support our team in managing projects and coordinating with clients. The ideal candidate will have experience with Notion for project management and excellent communication skills for client interactions. You will be responsible for organizing workflows, tracking project progress, and ensuring timely follow-ups with clients. If you are detail-oriented and thrive in a dynamic environment, we want to hear from you! Responsibilities Manage and maintain my Notion workspace (I have a full template ready). Track project timelines, upcoming shoots, deliverables, file handling, and editor assignments Monitor billing, approvals, follow-ups, and status updates Communicate with clients to gather information, schedule meetings, or request missing materials Follow up with collaborators (editors, shooters, designers, etc.) to check progress and clear roadblocks Prepare simple documents or proposals (bonus if you can handle basic graphic design) Potentially hold calls or meetings on my behalf to collect information or keep projects moving Keep me on track by flagging priorities, deadlines, and outstanding tasks Requirements Excellent English communication skills (written and spoken) — absolutely essential Strong Notion proficiency Background in project management, operations, or executive assistance Highly organized, detail-oriented, and proactive Comfortable communicating with clients and team members Availability with good overlap to California (PST) hours Bonus: light graphic design ability (proposal PDFs, branded docs, etc.) Preferred Experience Experience supporting creative businesses (video, photo, marketing, design, etc.) Familiarity with content production workflows Ability to take ownership and operate independently
