- The Role
- We are seeking a highly organized and detail-oriented Supply Chain Administrator to support warehousing, logistics, fleet management, and data auditing operations. This role will serve as the primary point of contact for thir -party logistics providers, manage invoice tracking, and ensure data accuracy across multiple platforms. The ideal candidate must be able to work in Central Time and have access to VoIP, Slack, and Gmail for communication. This position reports directly to the US Supply Chain Manager.
- Key Responsibilities
- Warehousing & 3PL Management
- Act as the point of contact for all 3pls and internal warehouses
- Respond promptly to emails and inquiries related to system support, shipment tracking, order status, and general warehouse matters.
- Previous experience using WMS systems and preferably problem solving within them
- Audit receipts, inbound shipments, and warehouse records to ensure accuracy and resolve discrepancies.
- Track, categorize, and process warehouse invoices (handling, storage, accessorials) for accurate cost allocation and accounting.
- Monitor all inbound purchase orders; proactively identify and correct issues (e.g., orders submitted incorrectly, missing information).
- Serve as the primary inventory controller during stock-outs to prioritize picking and ensure on-time fulfillment within planned ETAs.
- Fleet Management & Compliance
- Regularly audit fleet management platforms (WEX, Geotab, Samsara, Enterprise Fleet, etc.) to ensure driver records, vehicle data, and fuel/card transactions are accurate and synchronized.
- Maintain up-to-date vehicle maintenance records and serve as the main point of follow-up with dealers and service providers to ensure timely repairs and minimal downtime.
- Keep all regulatory permits and registrations current (USDOT number, carrier authority, operator permits).
- Generate and distribute Certificates of Insurance to LL when company owned assets are used for deliveries.
- Assist in processing fleet-related accident/incident claims and associated administrative/follow up tasks.
Requirements
- Experience in supply chain administration, logistics, or related fields.
- Experience in WMS systems
- Strong organizational skills with high attention to detail.
- Proficiency in data auditing, invoice tracking, and logistics coordination.
- Ability to work in 8- 6pm NYC time zone
- Proficiency in VoIP (3cx), Slack, and Gmail for communication.
- Strong problem-solving and analytical skills.
