Job Description: Join Job Duck as a Legal Assistant and become an essential part of a team dedicated to delivering exceptional client service. In this role, you will act as the primary liaison between attorneys, paralegals, and clients, ensuring smooth communication and efficient workflow. Your contributions will directly impact client satisfaction by keeping processes organized and on track. If you are proactive, detail-oriented, and thrive in a fast-paced environment, this position offers an excellent opportunity to grow and make a meaningful difference. ● Salary Range: 1,150 to 1,220 USD Responsibilities include, but are not limited to: ● Handle rescheduling based on client readiness, workflow needs, and internal procedures ● Meet with clients during Plan Design Document meetings to review and confirm decisions ● Directly assist paralegals ● Assist paralegals with signing estate planning document preparation and creation, including those requiring Zoho Sign or Adobe ● Assist with amendments to estate plans, including preparing new amendments and coordinating payment processes ● Work closely with attorneys, paralegals, and clients to ensure matters move efficiently through the workflow ● Review scanned documents for accuracy and promptly report discrepancies to the paralegal team ● Set up, organize, and maintain virtual client files in Zoho WorkDrive ● Manage and schedule various types of client meetings using Zoho CRM, Acuity, Zoho Bookings, and Google Calendar ● Ensure Zoho CRM pipelines move properly through the system and notify the team of any outstanding issues ● Assist clients with accessing and navigating portals such as Decision Vault and Zoho WorkDrive, including sending access links, troubleshooting, and providing guidance ● Perform data entry ● Provide clear, timely updates and gather necessary information at the direction of attorneys and paralegals ● Serve as the primary point of contact for clients, conducting reminder, preparation, check-in, and explanatory calls, and rescheduling appointments as needed Requirements: ● Time Zone: EST from Monday to Friday from 9:00 AM to 5:00 PM ● Required Software and Tools: ○ Zoho CRM, Zoho WorkDrive, Zoho Sign, Zoho Bookings ○ Acuity Scheduling ○ Google Workspace (including Google Calendar) ○ Microsoft Word and Excel ○ Adobe ○ Box ○ Aircall (phone management) ○ LawPay Required Skills  ● Excellent written and verbal communication skills ● Ability to follow established systems, processes, and procedures ● Strong prioritization and time-management skills ● Exceptional client service mindset ● Effective problem-solving abilities ● Initiative within the guidelines of the role ● Highly organized and detail-oriented ● Strong multitasking capabilities Work Shift: Languages: English Ready to dive in?
