***Looking for someone who will not take too many clients on at the same time and can dedicate themselves to learning and growing with our company. Long term position*** Small Female Owned Dog Walking and Pet Sitting company based in Miami Beach FL. Looking for a virtual administrative assistant with light customer service duties. Looking for a part time help 2-4 hours daily during the week with light weekend help. Hours vary depending on demands and tasks required but work hours typically range between 8 am EST to 8 pm EST for various tasks if needed. This individual should speak English and Spanish fluently, have a focus on Customer Service and be very detail oriented. Looking for someone who is proactive and can bring process and procedure to a growing company rather than a task completer. Daily tasks: - Check emails first thing in the morning and then throughout the day - Checking notifications in ttp (time to pet), responding to clients, being on top of walkers reports as needed, etc. - End of day check to see if all services are completed. If not, reach out to PCP (Pet Care Professional) - Answer calls and texts throughout the day - Handling client questions and trying to set new client meet and greets - Complete scheduling. To be completed by Tuesday/Wednesday for the following weeks services - Keeping on top of the very dynamic schedule - Keep in contact with Michelle on any pending items due/current events - Weekly Invoicing. Make sure all payments are processed, follow up with clients who have past due balances, manually apply Zelle payments in ttp. - Liaison between Michelle and Clients AND Michelle and PCP’s - Communicate with PCP’s with any needs they may have which may include but not limited to: o Key exchange o Schedule, Covers, and time off o Questions or concerns with clients - Updating ttp (time to pet) settings, profiles, etc. as necessary - Sending new client email to new clients that set up a profile with ttp - Daily weekday call with Michelle to go over new clients, pending issues, scheduling, etc. - Creating and distributing 1099’s at year end to contractors and sending to the IRS - New hire on boarding - Filing or organizing documentation in OneDrive - Light weekend and Evening work required based on client calls, last minute scheduling changes, emergencies, and PCP issues etc.
