Hiring: Virtual Business Assistant (Zoho One + Document Management) Long-term | Part-time to Full-time | Remote | English/Spanish a plus We are looking for a Virtual Business Assistant with strong experience in Zoho One (multiple apps), exceptional organizational skills, and solid Canva abilities for document creation and formatting (NOT social media work). This role supports the launch and operations of a fast-growing company in the commercial / industrial services sector. You will work directly with leadership and help build structure, documentation, and systems across several departments. ⭐ Required Skills & Experience Must have: Strong proficiency in Zoho One, including several of the following: Zoho CRM, WorkDrive, Books, Forms, Learn, Creator, Flow, Analytics Experience organizing large document libraries (folders, SOPs, manuals, naming conventions) Excellent attention to detail and ability to follow strict formatting/branding guidelines Canva experience for professional document creation (reports, SOPs, training docs, templates) Ability to edit, clean up, and rewrite text while keeping professional tone Ability to work independently, manage multiple tasks, and meet deadlines Very strong organization + file management skills Nice to have: Bilingual (English/Spanish) Experience with operations documentation (SOPs, HR docs, QA checklists, safety manuals) Experience supporting service-based or field-operations companies. Responsibilities: Organize + categorize a large library of business documents inside Zoho WorkDrive Format, edit, and standardize documents (SOPs, manuals, branding docs, HR files, etc.) Create professional templates in Canva following brand guidelines. Assist with Zoho workflows: Uploading files, tagging documents, updating CRM modules Help maintain consistency across platforms (Zoho, Canva, WorkDrive) Light research + administrative tasks as needed Occasional translation (EN/ES) if bilingual The Ideal Candidate Extremely organized — Proactive and resourceful: can figure out details without constant supervision Clear communicator Professional, detail-focused, and comfortable working on long-term, complex projects Familiar with systems, documentation, and operational processes
