We are seeking a proactive, detail-oriented Virtual Executive Assistant to support our dynamic CEO in a fast-paced, impact-driven environment. Role Overview: As the Virtual Executive Assistant, you will serve as the right hand to the CEO—helping to streamline communications, manage complex calendars, coordinate high-stakes meetings, support proposal logistics, and assist with follow-ups across government, enterprise, and strategic partnership channels. Key Responsibilities: Manage and optimize the CEO’s calendar, including internal meetings, client engagements, proposal timelines, and speaking events Draft and respond to emails with clarity, professionalism, and confidentiality Prepare briefing documents, talking points, and pitch decks using Google Workspace and Canva Track deliverables and deadlines related to government RFPs, teaming agreements, and business development pipelines Coordinate virtual meetings, take notes, and follow up on action items with internal and external stakeholders Assist with document management, including formatting proposals, SOWs, NDAs, and compliance documents (e.g., SAM.gov, SBA, SOC2 documentation) Support marketing outreach efforts including email campaigns, event follow-ups, and client-facing LinkedIn messages Handle light personal assistant tasks such as travel planning, gift coordination, or scheduling wellness appointments Required Qualifications: 3+ years of experience supporting C-level executives virtually Strong written and verbal communication skills with a professional tone Mastery of Google Workspace, Zoom, Slack, Canva, and task/project management tools like ClickUp or Trello High emotional intelligence, discretion, and the ability to manage competing priorities with calm and confidence Familiarity with professional services, HR consulting, or federal contracting is a strong plus Preferred Experience: Background supporting executives in GovCon, staffing, HR tech, or SaaS Experience with proposal coordination, procurement portals (e.g., SAM, GSA), or subcontracting documentation Working knowledge of Predictive Index, PayScale, or similar workforce analytics tools Compensation: Hourly or monthly retainer depending on experience Flexible hours, 15–25 hours/week to start with growth potential
