HiFlyer Digital, a fast-growing email & SMS marketing agency for e-commerce brands, is staffing on a part-time Virtual Marketing Assistant (room to grow into full-time by next year). The Virtual Assistant will act as an Agency Integrator, partnering with our senior leadership to improve agency operations, optimize team processes and solidify the foundation for agency success. We are seeking a skilled and detail-oriented Virtual Assistant to support our marketing efforts remotely. As a Virtual Assistant, you will be responsible for performing various marketing tasks, including video editing, social media management, community management, AI usage & administrative tasks. The successful candidate for this role will have excellent time management skills, solid organizational skills and a passion for owning their space. Bonus: familiarity with e-commerce, email marketing & SMS marketing would be advantageous. What You’ll Do: - Assist founder with all necessary day-to-day marketing tasks - Social media management; comments, responses, dialogue & maintenance - Video editing, syndication & posting - Agency organization; assist, refine & organize SOP’s and processes - Inbox management; respond to emails and phone calls during work hours. - Scheduling; meetings, travel, interviews, case studies, podcast assistance - Client Retention; lead on payments, refunds, gifting and communication - Meeting notes; preparing reports, memos, and other documents - Social media management; comments, responses, dialogue & maintenance - Client calendar management; oversee smooth timely operations - Employee liaison; address employees queries, PTO, work hours & deliverables - Providing general administrative support to the team - Tech management; point person on tech usage, issues and enhancements Qualifications - Proven experience as a Virtual Assistant or relevant role - Background or familiarity with e-commerce, email & SMS marketing or marketing agencies - Familiarity with current technologies, like desktop sharing, cloud services and VoIP - Experience with Google software, project management tools, etc. Knowledge of online calendars and scheduling (e.g. Google Calendar) - Excellent phone, email and instant messaging communication skills - Excellent time management skills & solid organizational skills - Strong writing, editing, proofreading skills, and, excellent attention to detail - A keen eye for optimization when it comes to improving processes and workflows - Strong communication and follow-up skills to ensure that all stakeholders are kept in the loop and projects are kept on track
